SCVWS Exhibit Rules

Artist Participation

  1. Any SCVWS member with dues paid as of the registration deadline is eligible to enter member shows.
  2. On-time registration is required.  No exceptions are allowed.  If you do not receive registration confirmation, please contact show organizers or exhibits@scvws.org.
  3. Artists have the opportunity to submit images of their registered artwork for consideration in publicity photos for the show.  High quality JPEG images at least 1,500 pixels on longest side (i.e. 5" at 300 dpi) should be sent to publicity@scvws.org by the Publicity Image Deadline.   The image submitted must be the same as the registered painting.  Decisions are made by a 3 person panel of non-submitting members of the exhibits or publicity committees.  Non-submitting board members may be included if additional people are needed for the panel.

Responsibilities of Participants

  1. Participating artists are expected to help with the tasks related to putting on the show: including receiving, hanging, gallery sitting, publicity and other show specific tasks.
  2. When paintings are delivered by someone other than the artist, that person is expected to sign up the artist for all responsibilities.
  3. When provided with postcards, each artist will send out at least 10 invitations to the exhibit.  Artists should also use their personal networks (email distribution lists, facebook, etc.) to help promote the show.

Fees (to be paid at Receiving)

  1. DO NOT send fees with registration. Fees are payable at time of receiving paintings.
  2. Please check exhibit information for specific shows’ fees.  Fees vary based on rental and insurance fees required by venues and the need to cover awards, publicity and refreshments for receptions.

Artwork Eligibility

  1. For the Annual Show, one painting per artist. Number of paintings may vary for other shows.
  2. Artwork must be primarily watermedia.
  3. Unless otherwise specified, artwork may be up to full-sheet size.
  4. Artwork should be your own original work, not done in a classroom situation under supervision. Independently produced class work critiqued by a professional is OK. Direct copies of copyrighted material are not acceptable, including other artists work, post cards, magazines or other printed material or material from the internet.
  5. No reproductions, digital or giclee prints.
  6. No diptych, triptych or other multiple works.

Presentation of Artwork

  1. All submitted work must be properly finiished, ready to hang, and safe for our volunteers to handle.
  2. Frame: Required for all artwork on paper. High quality. Should be plain metal or wood.
  3. Frame size must not exceed 40" on any side.
  4. Mat:  Clean, well-cut mats r equired for artwork on paper. Color and value of mat at the discretion of the artist. For floated artwork, use spacers to hold away from glazing.
  5. Glazing: Plexiglass (acrylic plastic) required for all artwork on paper. No glass.
  6. If exhibit allows canvas artwork, the following rules apply:  Artwork on canvas does not require glazing but must be properly finished.  This means either the canvas must be properly framed or the edges must be professionally wrapped and completely painted in a manner in keeping with the artwork.
  7. Wire: ONLY conventional flat holders such as D-rings are accepted.  No sawtooths, clamps, or screw eyes since they damage surfaces and are not reliable.  Wire should be stretched so that when hung it will not extend and be visible above the framed artwork.  Ideally, stretched wire should reach about 2” from the top edge.  On larger pieces of work, the wire should be attached about 4” from the top edge to prevent angling away from the wall/panel.  Raw ends must be taped.
  8. Labeling: Identify artwork on the back with title, artist name, telephone number and/or email address.

Insurance

  1. Insurance is the responsibility of the artist. SCVWS does not insure art on display at member shows. Although every care will be taken to protect your artwork, we cannot be held responsible for damaged art, frames or glazing.
  2. For the Annual Show, the Triton Museum provides theft insurance up to a value of $1,000. Be sure to provide an insurance value, even if your painting is not for sale.

Sales

  1. Commission is paid to the venue at their discretion, and with SCVWS Board approval.
  2. SCVWS does not take a commission for artwork sold, although we do request that you inform us of any sales.
  3. Artwork must not be removed from the exhibit prior to the scheduled pick-up time, after the show closes.
  4. When working a gallery shift, all efforts should be made to complete sales of the art.  In most cases, a brochure with a list of prices and artist contact information will be available at the desk so that prospective buyers can contact the artist directly. Or follow the specific gallery sitting instructions for that show’s venue.
